Trade Paperwork and Family Paperwork, Same Counter

Herald Square sits where two very different kinds of document work meet. On one side, the Garment District and the import-export trade: certificates of origin, supplier agreements, commercial invoices and entity records headed for a customs authority or a manufacturing partner overseas. On the other, the neighborhoods around 32nd Street, where the documents are personal — a marriage certificate for a family registry, a degree for a job in Seoul, a power of attorney for a parent’s property.

Both run through the same two systems and the same office. New York documents go to the NY Department of State; federal records are prepared here and hand-delivered in Washington by our DC team. $120 flat for federal apostilles, government fee included, and {{NY_PRICE}} for New York State apostilles.

What We Authenticate

Documents Handled at the Herald Square Office

Trade & Export Documents

Certificates of origin, commercial invoices, supplier and distribution agreements, and free-sale certificates for customs clearance and overseas manufacturing partners.

Marriage & Birth Certificates

New York State and New York City vital records for family registries, spousal visas and citizenship claims abroad. City-issued copies require a letter of exemplification first, which we obtain as part of the filing.

Degrees & Transcripts

Academic records for teaching posts, licensure and employment overseas — notarized registrar signature and clerk certification included, since the state will not act without them.

FBI Background Check

Required for most long-stay visas and residency permits, and federal rather than state — so it is prepared here and hand-delivered to the U.S. Department of State by our Washington office.

Powers of Attorney & Affidavits

Property POAs, single-status declarations, parental consent letters and sworn statements executed before a New York notary, with the county clerk certification handled.

Business Formation Records

Certificates of status, articles of organization, operating agreements and resolutions for opening an entity, a bank account or a trade account in another country.

Simple · Tracked · Reliable

Straightforward Whether It’s One Page or a Shipment File

A single birth certificate and an export file with a dozen exhibits follow the same three stages; only the handling behind them differs. If you are nearby, Herald Square, 34th Street and Penn Station all put you a few minutes from the lobby — and if you are not, mailed and uploaded submissions are the norm rather than the exception.

Location Advantage

What Actually Goes Wrong, and How We Avoid It

Almost every returned New York filing fails for one of four reasons. All four are checked before anything leaves this office.

  • The wrong government State documents sent to Washington and federal documents sent to Albany are both returned unprocessed. The routing call is made at intake.
  • A missing clerk certification New York will not apostille a notarized document until the county clerk has certified the notary’s commission. We handle that step rather than flagging it.
  • An unapostillable vital record A standard NYC birth or marriage copy cannot be authenticated as issued. The letter of exemplification is requested as part of the job.
  • An apostille the destination won’t take Non-Hague countries need consular legalization. We confirm which your destination requires before you pay for the wrong certificate.
Questions & Answers

1250 Broadway Office — Common Questions

Where is the Herald Square office?
1250 Broadway, 36th Floor, New York, NY 10001 — at Broadway and 32nd Street on Herald Square, a few minutes from Penn Station and the 34th Street stations, with the Garment District and NoMad on either side.
Do you handle export and customs paperwork?
Yes. Certificates of origin, commercial invoices, free-sale certificates and supplier agreements are routine here, including the notarization and certification steps a customs authority or foreign partner will expect to see before the apostille itself.
How do I know which system my document belongs to?
Trace it back to the issuer. Anything produced by the state of New York or by someone it licenses — an agency, a court, a school, a notary — is a state matter. Anything produced by Washington, from an FBI report to a naturalization certificate to an IRS letter, is federal and can only be authenticated there. Unsure? Send it; that call is ours to make, not yours.
What does it cost?
$120 flat per federal apostille with the government fee included. New York State apostilles are {{NY_PRICE}}. Preliminary steps such as clerk certification or a letter of exemplification are quoted with the job, so nothing is added afterwards.
My document is in another language. Is that a problem?
Not for the apostille itself — it certifies the signature and seal, not the language. What matters is the receiving country: many require a certified translation alongside the apostilled original, and some require the translation to be apostilled too. Tell us the destination and we will say which applies before you commission anything.
How long does it take?
Allow about 10 business days on the federal side, handled through Washington. The state side varies with what has to happen before the filing — a clerk certification, an exemplification letter — so we give you a date once the document is in front of us instead of a number up front.
Do you cover embassy legalization as well?
Yes. Outside the Hague Convention an apostille carries no weight, and the document instead climbs a chain: authentication at the state or federal level, then Washington, then the destination country’s own consular officers. Name the country and we will show you the sequence and what it realistically costs in time before you commit to it.
