Understanding Your Order Status

Your order passes through several stages as it moves from our office to the U.S. Department of State and back. Here is what each status means and what to expect at every step.

Submitted to Dept. of State Your documents have been hand-delivered to the U.S. Department of State Office of Authentications and are in the federal processing queue. 10–12 business days
Apostille Issued The Department of State has issued the apostille certificate and attached it to your document. We have retrieved the completed document from the Office of Authentications. Included above
Shipped Your completed apostille has been shipped via your selected carrier. A tracking number is available in the tracker above and sent to your email. 1–5 business days (varies by method)
Delivered Your apostilled document has been delivered to the address on file. Carrier confirmation is available via the tracking link.

What to Expect While Your Order Is Processing

Email Notifications

You will receive automatic email updates when your order reaches key milestones. Check your spam or junk folder if you are not seeing updates — emails come from submissions@federalapostille.org.

Processing Timeline

Standard processing at the Department of State takes 10–12 business days from the date of submission. Your status may remain unchanged during this period — this is normal. The status will update once the apostille has been issued.

Document Issues

If we discover any problems during our document review — such as a missing seal, incorrect format, or ineligible document — we will contact you directly by phone or email before proceeding. No charges are applied until your document passes our review.

Return Shipping Tracking

Once your apostilled document ships, a carrier tracking number appears in the tracker above and is emailed to you. Click the tracking link to follow your package in real time through USPS, FedEx, or UPS depending on your selected shipping method.

Your order number was included in the confirmation email sent when we received your documents. Search your inbox (and spam folder) for emails from submissions@federalapostille.org.

Try your email address instead
If you cannot locate your order number, enter the email address you used when submitting your order. The tracker will display all orders associated with that email.
Recently submitted?
If you mailed your documents, your order may not appear in the tracker until we physically receive and process the package. Allow 2–5 business days for standard mail delivery to our DC office.

How do I track my federal apostille order?

Enter your order number or the email address associated with your submission into the tracking tool at the top of this page. Your current processing status will display immediately, along with a timeline of completed and upcoming milestones.

How often is the order status updated?

Your order status updates at each major processing milestone: document receipt, professional review completion, submission to the Department of State, apostille issuance, and shipment. During the Department of State processing period (10–12 business days), the status will remain at "Submitted" until the apostille is issued — this is expected.

What do the different order statuses mean?

Each status corresponds to a specific stage in the apostille process. "Order Received" means we have your documents. "Document Review" means our team is verifying requirements. "Submitted to Dept. of State" means your documents are in the federal queue. "Apostille Issued" means processing is complete. "Shipped" means your documents are on the way back to you with a tracking number. See the detailed table above for full explanations.

My status hasn't changed in over two weeks. What should I do?

Standard Department of State processing takes 10–12 business days (not calendar days). If more than 14 business days have passed since your order was submitted to the Department of State and the status has not changed, contact us at (760) 469-2997 or email submissions@federalapostille.org. We will check directly with the Office of Authentications on your behalf.

Can I track my return shipment?

Yes. Once your completed apostille ships, a carrier tracking number and direct tracking link will appear in the order tracker and will be emailed to you. You can follow your package in real time through the carrier's website — USPS, FedEx, or UPS depending on the shipping method you selected at checkout.

I lost my order number. How can I find it?

Your order number was sent in your confirmation email from submissions@federalapostille.org. If you cannot find it, you can also track your order by entering the email address you used when submitting your documents. If neither option works, call us at (760) 469-2997 and we will locate your order manually.
