Standards & Client Protections
Compliance, Confidentiality & Accreditations
Federal Apostille and Notary Processing operates under strict compliance guidelines and maintains active professional accreditations to ensure the highest quality of service for every client. As an independent document processing service that coordinates directly with the U.S. Department of State, we are committed to maintaining the trust, accuracy, confidentiality, and security that our clients and the federal authentication process demand.
Our compliance framework covers client confidentiality, international treaty adherence, data security protocols, professional certifications, and rigorous quality assurance procedures. This page is a plain-language overview of the standards that govern our operations.
Client Confidentiality & Privacy
The documents we handle are among the most sensitive a person or business will ever send by mail: birth and marriage records, adoption files, immigration and visa paperwork, court judgments, FBI background checks, medical and academic records, powers of attorney, and corporate agreements. We treat that material accordingly.
All client dates, documents, and information remain confidential and private. Every detail a client provides to Federal Apostille and Notary Processing — including names, dates of birth, appointment and travel dates, addresses, identification and case numbers, destination countries, family, immigration, medical, academic, and business matters, and the full contents of any document submitted for processing — is treated as strictly confidential client information.
We do not sell, rent, trade, publish, post, or otherwise disclose client information to any third party for marketing, advertising, data brokerage, or any other commercial purpose, and we never use client documents or details as examples, samples, or promotional material. Information is shared only with the parties strictly necessary to complete the order the client has authorized — such as the U.S. Department of State, an applicable state authority, a foreign embassy or consulate, a certified translator, our payment processor, or the shipping carrier selected for return delivery — and only to the extent required for that step.
This obligation of confidentiality applies to every employee and contractor, continues after an order is completed, and survives the end of the client relationship indefinitely.
How Confidentiality Is Enforced
- Written confidentiality agreements: All employees, processors, couriers, and contract translators sign binding confidentiality agreements as a condition of handling client files.
- Need-to-know access only: Client documents are visible only to the staff assigned to that order. Access to stored files is restricted, logged, and reviewed.
- No third-party marketing: Client names, email addresses, and phone numbers are never sold, rented, or shared with advertisers, lead brokers, or affiliated businesses.
- No confirmation of client status: We do not confirm or deny to any outside party — including employers, relatives, or other callers — whether a particular person is or has been a client, and we do not discuss order details with anyone other than the client or an authorized representative the client has designated in writing.
- Vendor obligations: Translators, couriers, and technology vendors are bound by contract to equivalent confidentiality and security standards, and receive only the minimum information needed to perform their role.
- Discreet correspondence and packaging: Return shipments and email correspondence do not display document contents on the exterior or in the subject line.
- Non-disclosure agreements on request: Law firms, corporate clients, and individuals with heightened confidentiality requirements may request a mutual NDA before submitting documents. Contact our office and we will provide one for review.
Limited Exceptions
We will disclose client information outside the processing steps described above only where we are legally required to do so — for example, in response to a valid subpoena, court order, or other lawful legal process, or where disclosure is necessary to prevent fraud or to comply with an applicable law or regulation. Where we are permitted to do so, we will notify the affected client before responding. We do not make voluntary disclosures to third parties.
Client Control of Their Own Information
- Clients may request a copy of the information we hold about them, request corrections, or request early deletion of their digital records at any time.
- California residents may exercise their rights under the CCPA/CPRA, including the right to know, delete, and opt out of sale or sharing of personal information. We do not sell or share personal information as those terms are defined under California law.
- Clients located outside the United States may submit access or erasure requests, which we honor subject to any records we are required by law to retain.
- Original physical documents are returned to the client on completion; any working copies are securely destroyed.
Full details on collection, use, retention, and deletion are set out in our Privacy Policy. Requests may be made by phone at (760) 469-2997 or through our contact page.
Hague Convention Compliance
1961 Hague Apostille Convention
All federal apostilles processed through our service are issued by the U.S. Department of State in full compliance with the Hague Convention Abolishing the Requirement of Legalisation for Foreign Public Documents. This treaty, in force for the United States since 1981, establishes a standardized certification format recognized by every member state.
- Apostilles conform to the standardized format specified in the annex to the Hague Convention
- Each apostille bears the official seal and signature of the U.S. Department of State
- Documents are verified for eligibility under the Convention prior to submission
- Destination country membership status is confirmed against current HCCH records during pre-screening
For countries that are not party to the Hague Convention, we coordinate document authentication followed by embassy legalization, matching each country's specific requirements for recognizing U.S. federal documents.

Quality Assurance Process
Every order undergoes a six-point quality assurance process designed to prevent errors, avoid delays, and achieve successful processing on the first submission. These controls are a key reason for our consistently high client satisfaction ratings, as reflected in our client testimonials.
Document Eligibility Verification
We verify that each document qualifies for federal apostille or authentication based on its issuing authority, document type, and intended destination country.
Issuing Authority Confirmation
We confirm the document bears valid signatures from recognized federal authorities as required by the U.S. Department of State.
Destination Country Validation
We verify the destination country's Hague Convention membership status and confirm whether an apostille or a full authentication and legalization chain is required.
Pre-Submission Review
A senior team member conducts a final review of all documents and submission materials before hand-delivery to the Department of State.
Post-Processing Inspection
After the Department of State issues the apostille, we inspect the completed documents to confirm accuracy, proper attachment, and legibility.
Secure Delivery Confirmation
Documents are securely packaged and shipped with tracking and insurance. We confirm delivery and follow up to ensure client satisfaction.
